Ad Hoc Member Lists

At times, your team may need to send to a targeted ad hoc member list that was not made using the custom fields in your master member list. For example, your lending department may give you a list of pre-approved members to send a lending email to, but you don’t want to create a separate list because it will add to the total number of subscribers you pay for.

Solution

The solution is to add the list to the master member list but flag the members from the ad hoc list as a segment.

Step 1

Convert your ad hoc list to a .csv format if it isn't already in that format.

Step 2

Add a column to the .csv and name the header "SEGMENT".

Step 3

Fill the entire column with a value that represents your ad hoc list (i.e., "2023 Lending Email").

Step 4

Make sure you have a custom field named “Segment” in your master member list and it is set to type “Text”. If it is not there and you have less than 50 fields already, just select "Add custom field" in the top right and add it as a text field. It is not case sensitive.

Step 5

Go to your master member list and hit the green button labeled "Add new subscribers" in the upper right corner.

Step 6

Drag and drop your .csv file into the box or browse and upload the .csv.

Step 7

The next page should show that your segment field is now matched to your custom field named segment. Hit “save and continue”.

Step 8

Next, go to “Segments” on the left-hand side and then hit the green button “Create a new segment” on the upper right-hand side of the segments page.

Step 9

In the drop down “Define a rule based on”, select “SEGMENT” and then set it up as shown below making sure to type the exact words you used in your .csv “2023 Lending Email”. Name it the same thing so it’s easy to identify. Select “Save and preview” to see the quantity (it may be less than the quantity in your .csv due to duplicate, invalid or suppressed email addresses in the list).

Step 10

Now that you have created and saved your segment, you are ready to send or schedule your email. When you go into your draft, hit the button “Select recipients".

Make sure to only select the option that has your segment in it (shown to the right.) If your segment isn’t showing up in the list, you can either wait a few minutes or refresh your page a few times. Once that is selected, you are ready to send your email!
